For managers, associations & rental owners

Several buildings.
One organized starting point.

Keep each property’s observations and access requirements together so the right people can review the next steps.

1. Make the building list

Record the address, building identifier, roof type if known, on-site contact, and reported concern. Flag occupied areas affected by leaks. Follow emergency guidance before arranging access.

2. Gather available records

Collect roof age, prior repairs, warranties, inspection reports, and rooftop equipment information. Label every record with its building.

3. Agree on access

Confirm keys, escorts, tenant notices, guest restrictions, work hours, and any roof-access policy. Avoid sending staff onto roofs to collect preliminary information.

4. Request findings by property

Ask for the inspected areas, photos, observed conditions, access limits, recommended next steps, and items needing more investigation. A finding on one building should not be assumed to apply to another.

5. Keep approvals clear

Separate assessment findings from construction proposals. Confirm the decision-maker, bid or board deadline, vendor documents, scope exclusions, and authorization process.
